System Settings
One of the most frequently missed features in ClockedIn is the ability to customize some of its basic behavior. ClockedIn's system settings can be found in your iPhone/iPod touch Settings app.
For example, we often hear that it's cumbersome to select projects and activities - "...it takes too many taps!" Well, if you set "Commit on Select" to "ON", after you select a project, ClockedIn will automatically save your selection then prompt you to select an activity. What are the new features in version 1.3?
- Task switching mode. We've gotten some requests from customers that would like to switch between common tasks more quickly, so we've added a setting to ClockedIn that changes the behavior of the start/stop button. When the setting is enabled, the start/stop button will automatically display the last 10 project/activity combinations for assignment to the timer. After a selection is made the timer will start timing the new task. If the project/activity combination is not in the "recents" list, select the "All Projects" button to select from all your projects. To get a better idea of what we're talking about, check out the "Task Switching Mode" demo video.
- Predefined project activities. This is another customer requested feature. Some customers have projects that have the same activity names. It's a pain to have to enter the same activity names over and over for different projects. This feature allows you to specifiy 5 activity names that will automatically be created upon project creation.
- Custom first day of week. Prior to version 1.3 the first day of the week was determined by the international setting for your device. For example, if you set your device for United States the week would start on a Sunday. If your device was set for United Kingdom, it would be Monday. Now you can set which day of the week you want your week to start on regardless of the international setting.
- Add completed tasks from the project totals view. Previous versions allowed adding completed tasks through the day view. This was hard for people to find when we added the "Weekly" and "Monthly" views so, we've added a new button to the project totals view that will allow completed tasks to be entered for the selected project.
- View and edit timed tasks from the project totals view. You can now access the timed tasks related to the activity totals displayed in the project totals view. Tapping on an activity total will show the timed tasks that make up the total. Tapping on the timed task will show its details and will also allow you to edit the tasks details.

How do I enable the new features?
"Task Switching Mode", "Predefined Project Activities" and "First Day of Week" are set through ClockedIn's system settings. These are found by accessing the Settings app on your device and choosing ClockedIn. -
When using "Task Switching Mode", how is the list of recent project derived?
ClockedIn selects the last 10 unique project/activity combinations that were assigned to tasks, with the most recent on the top of the list.

The last release was version 1.0.4, what happened to version 1.1?
Version 1.1 was never released because many of the features we had planned for 1.1 were included in versions 1.0.2 to 1.0.4. In the course of fixing bugs we decided to release some of the features we were planning for 1.1 into the updates. -
What are the new features in version 1.2?
The main features in version 1.2 are the Weekly and Monthly views. The Weekly view provides activity summaries by week within a month while the Monthly view provides a summary for the total calendar month. Both of these views provide bar graphs that show the relative amount of activity during the month and week.
In addition, there is now a new top level view for the Date view which enables navigation to the Daily, Weekly and Monthly views.
Tip: Tapping on the Dates tab bar item will always take you to the top level Date view. For example, if you are viewing a day's activity in the Day view and then wanted to view a monthly summary, instead of using the back button to navigate all the way to the top level Dates view and then selecting the Monthly view you can tap on the Dates button and it will take you straight to the Dates view. -
What's the difference between Monthly and Weekly views?
The monthly view is a calendar month. It always starts with the 1st of the month and ends on the last day of the month (28th, 30th, 31st or 29th in a leap year).
The weekly view fits complete weeks within each month. So, in many cases the calendar month will not be the same as the weekly month. -
If a month begins or ends in the middle of a week, what month does it belong in?
ClockedIn uses the following rule to determine if a week belongs in a month: If a week has four of its days in a month it belongs in that month. -
How does ClockedIn determine which day is the first day of the week?
By default, the first day of the week is determined by the current locale that the iPhone/iPod touch is set for. However, version 1.3 introduces a system setting which will allow you to override the locale setting of your device so ClockedIn will determine its weeks based on your desired first day of the week. -
Why don't the totals on the reports agree to the detail times?
The timer captures time to the "second" but we are only reporting on hours and minutes. So, you aren't able to see the seconds which are being included in the totals. You will most likely see these difference when calculating totals over a large number of timed tasks since it is likely that the total of their seconds will equate to minutes.

Will ClockedIn run on my iPod touch?
ClockedIn supports both the iPhone and the iPod touch running iPhone OS 2.2.1 or higher. -
Will the timer keep track of time even when I'm not in ClockedIn?
Yes. Exiting ClockedIn will not stop the timer from tracking the elapsed time of a task. -
Can I edit the start and/or end times of tasks?
Yes. Starting and ending times of tasks can be edited through the date view. However, if a task is running you will only be able to edit the start time since it doesn't have an end time yet. -
Can I export my data out of ClockedIn?
ClockedIn supports emailing daily totals and project totals. The daily summary view and the project totals view now have an "action" button which will create an HTML report. The report will then be loaded into the iPhone/iPod touch mail application for sending. Since the message is formatted in HTML, the contents can be easily cut and pasted from your email client into other desktop applications like Numbers or Excel.
Additionally, weekly and monthly views which also support the emailing of their data. -
How does ClockedIn handle switching between projects, can I pause a task?
The ClockedIn timer does not support "pausing". You would simply stop the timer on the current task and start the timer on the new task. When you complete that task stop the timer then start the timer on the next task when you begin it. Start and stop the timer as often as you need, as long as you assign the timed task to a project you'll always be able to see the total time you spent on it in the summary view for the day.
Tip: You can start the timer without having to assign it a project. So, for example, if you get a phone call that needs to be timed, start the timer and assign it a project (and activity) later. We made the timer simple so you can concentrate on the task at hand and not on managing ClockedIn.,
In addition, version 1.3 adds "Task Switching Mode" which makes it easier to switch between commonly used tasks. -
How is the date range for project totals derived?
The date range presented when accessing Project Totals is the full history for that project based on the data in ClockedIn's database. In other words, the totals provided represent the total cumulative times for all timed tasks for that project in the database. -
How do I enter in time I've previously spent on a task?
Yes. Pressing the "Edit" button in the date view will reveal a "New Task" button. Pressing the "New Task" button will allow you to enter in a task prior to the current date. Setting the date of the task will create a new day in the date view for the task, if needed.
Also, version 1.3 adds the ability to add a completed task from the project totals view. -
How do I enter in time I've already billed?

To save a couple of taps, set the "Commit on Select" application setting to "ON". ClockedIn will then automatically load the activities picklist after you select a project from the timer view.

Is there a faster way to get to today's date in the dates view?
Setting the "Selects Today" application setting to "ON" will automatically load today's date when accessing the dates view. One thing to note is that selecting a different day or category (weekly or monthly) while in the dates view will over ride this behavior during your ClockedIn session. To re-enable the behavior, go back up to the top level date view (the one that shows daily, weekly and monthly). This can be done by tapping on the dates tab bar option while in the dates view.
